General Communications

General communications are notifications that do not fall under the classification of Change Related or Defects Related communications. They can be initiated by Project Manager, Contractor, Supervisor, or the Employer.

General Communications Issued by the Project Manager

A General Communication issued by the Project Manager is initiated when there is a need to respond to a general communication issued by the Contractor to deal with non-cost/time-affecting matters as required by the contract, where there is no specific communication type is available. As a result, if a response is required, a Contractor's General Communication (CCM) is initiated if a response is required.

For general communications initiated by the Project Manager, the workflow is as follows:

  • Project Manager initiates and issues a general communication on the Project Manager's General Communication Form (PMC)
  • Contractor prepares a response via the Contractor's General Communication (CCM) form
  • It is determined whether an extension is needed, and if so, the Project Manager notifies of agreed upon extension using the Extension of Period for Response Notification form (EXT).

General Communications Initiated by the Contractor

A General Communication issued by the Contractor (CCM) is initiated when there is a need to issue or respond to a general communication to deal with non-cost/time-affecting matters as required by the contract, where no specific communication type is available. As a result, if a response is required, one of the following communications will be initiated: Project Manager's General Communication (PMC), Supervisor's General Communication (SCM), or Employer's General Communication (ECM).

For general communications initiated by the Contractor, the workflow is as follows:

  • Contractor initiates and issues a general communication on the Contractor's General Communication (CCM) form
  • Project Manager prepares a response via the Project Manager's General Communication (PMC) form
  • It is determined whether an extension is needed, and if so, the Project Manager notifies of agreed upon extension using the Extension of Period for Response Notification form (EXT).

General Communications Initiated by the Supervisor

A General Communication issued by the Supervisor (SCM) is initiated when there is a need to issue a general communication to deal with quality-related matters as required by the contract. As a result of an SCM, a Contractor's General Communication (CCM) is generated, if a response is required.

For general communications initiated by the Supervisor, the workflow is as follows:

  • Supervisor initiates and issues a general communication via the Supervisor's General Communication (SCM) form
  • Contractor initiates and prepares a response on the Contractor's Communication (CCM).

General Communications Initiated by the Employer

A General Communication issued by the Employer (ECM) is initiated when there is a need for the Employer to issue a general communication to the Contractor as required by the contract. As a result of an ECM, a Contractor's General Communication (CCM) is generated, if a response is required.

For general communications initiated by the Employer, the workflow is as follows:

  • Employer initiates and issues a general communication via the Employer's General Communication (ECM) form
  • Contractor initiates and prepares a response on the Contractor's Communication (CCM).
